Clear guidelines for the responsible use of hosting, email and managed digital services.

With this fair use policy, ARVID.NL ensures that all clients can rely on stable, secure and fast services. In normal use, you will rarely run into limits in practice. These guidelines are intended to prevent misuse, overload and unnecessary risks, so that the services remain reliable for everyone.

1. Purpose and scope

  1. 1.1. This policy applies to hosting, email, maintenance and other digital services provided or managed by ARVID.NL.
  2. 1.2. The purpose is not to restrict normal use, but to identify excessive, risky or improper use in good time.
  3. 1.3. Where use deviates structurally, ARVID.NL will first seek a suitable solution together with the client.

2. What ARVID.NL monitors

To safeguard performance and security, ARVID.NL may monitor, among other things, the use of CPU, RAM, databases, storage, email traffic, bandwidth and malware signals. This is done solely to protect the continuity of the services.

3. Prohibited use

The following use falls outside normal fair use and may give cause for intervention:

  • using hosting as general file storage, a download environment or a streaming system;
  • storing your own back-ups within the same hosting account, while ARVID.NL or the platform already provides facilities for this;
  • running heavy or inefficient scripts, crawlers, imports or processes that require an unreasonable amount of server capacity;
  • sending spam, bulk mail or email campaigns from a mailbox that is not intended for that purpose;
  • publicly sharing accounts or access with third parties without a functional need;
  • hosting or distributing unlawful, copyright-protected, misleading or harmful content;
  • using the service for activities that are contrary to Dutch laws and regulations.

4. Practical guidelines

4.1 CPU and RAM

Short peaks are normal. However, if an account uses more than approximately 20% of the available server resources over a prolonged period, this may affect other websites in the same environment. In such cases, ARVID.NL expects the website to be optimised, for example through caching, more efficient plug-ins, cleaner code or a heavier package.

4.2 Database usage

Databases should remain functional and optimised. If a database grows larger than approximately 2 GB or structurally uses an above-average amount of resources, ARVID.NL may request a clean-up, index optimisation or the improvement of queries.

4.3 Storage space

SSD storage is intended for website files and directly associated data. The account may not be used as a back-up vault, Dropbox alternative or archive for large individual files. Where more than approximately 20 GB of files is used, ARVID.NL may request a clean-up or advise scaling up to a suitable environment.

4.4 Email usage

Practical limits apply to email in order to protect reputation and deliverability. ARVID.NL may get in touch when, for example:

  • a mailbox grows larger than approximately 5 GB;
  • total mail usage exceeds approximately 15 GB;
  • a mailbox contains more than approximately 20,000 messages;
  • more than 125 emails are sent per hour;
  • the bounce rate is conspicuously high.

For large mailings or automated campaigns, ARVID.NL expects the use of suitable tooling.

4.5 Malware and security incidents

Where malware, phishing, spam scripts or other security risks are identified, ARVID.NL may intervene immediately to limit damage. Where possible, the website remains available, but access to files, email or sending functionality may be temporarily restricted until the risk has been removed.

5. What ARVID.NL expects from the client

  • use up-to-date software, themes and plug-ins;
  • work with strong passwords and careful account management;
  • remove unused extensions, test data and old back-ups;
  • ensure that forms and email settings are technically configured correctly;
  • take appropriate measures when ARVID.NL reports a risk or point for optimisation.

6. Procedure in the event of deviating use

  1. 6.1. ARVID.NL will in principle first get in touch and explain what has been identified.
  2. 6.2. Together, it will be assessed whether optimisation, clean-up or scaling up is the best solution.
  3. 6.3. Only in the event of acute risks, such as malware, phishing or severe overload, may ARVID.NL intervene immediately.
  4. 6.4. ARVID.NL will never invoice or disconnect without cause; the starting point is always a reasonable and workable solution.

7. Smart recommendations

In most cases, problems are easy to prevent with a few structural choices: use caching, compress images, run on a current PHP version, remove unused plug-ins, use a specialised service for bulk mail and avoid leaving large back-ups or exports in the same hosting environment.
